ENTRY CONDITIONS

1 PRIZES
Prizes will be awarded in three categories, Trophies
to riders who achieve the highest sponsorship in two age classes
(Seniors and Juniors, under 16 on the day of the event) and a Medal for all riders who
achieve in excess of £75 sponsorship in Senior category and £50 in
Junior category..
Rosettes will be awarded to all riders who complete
the course.
2 THE COURSE
The Course will be approximately 8 miles long. Riders
may start between 10.00am and 12.30pm. With Reception's agreement
riders may commence a second circuit before
12-30pm; an additional donation would then be appreciated.
All rides must be completed before 3.00pm and Hatfield Park cleared by
4.00pm.
3 ENTRIES
(a) All participants in the horse ride must have
Public Liability / Third Party Liability for their horses.
(b) Horses
and ponies must be four years old or over.
(c) The
non-refundable entry fee of £12 for each rider (£10 each if 5 or more
enter together) must be enclosed with the entry form, together with either
your email address or a stamped self addressed envelope. MAKE CHEQUES PAYABLE TO
"ROTARY CLUB OF HATFIELD".
(d) The entry fee on the day will be £15, entries permitting.
(e) Requests to ride together must be made at the
time of entry, numbers permitting. The names of those wishing to ride together should be on
one entry form, or where there is insufficient space, on attached copies
of the entry form.
(f) Entries may be limited and will be accepted in
order of receipt. Post

4 SPONSORSHIP
(a) In addition to the entry fee each rider
must obtain a minimum of £15 sponsorship for entering the
ride.
(b) Sponsorship monies must be paid before leaving the
course on 4 October 2009.
(c) MAKE CHEQUES PAYABLE TO "
ROTARY CLUB OF HATFIELD".
5 RULES AND
ESSENTIAL SAFETY REQUIREMENTS
(a) Vehicle entry to the Park is from the west
bound carriageway of the A414 only. East bound vehicles must enter the
west bound carriageway at the roundabout 1 and 1/4 miles
beyond the entrance.
All vehicles leaving the Park must turn left onto the west bound carriageway.
East bound vehicles can enter the east bound
lane at the small roundabout adjacent to the Tesco Store.
Drivers and Riders must obey the Highway
Code at all times.
Hatfield Park main gate (opposite Hatfield
Station) may not be used.
(b) A Hacking entry from the south side of the
Park, is shown on the map.
(c) Riders must permit passing.
(d) No departure from the marked course is permitted.
(e) The organisers would prefer dogs to be left at home. If you
bring a dog keep it on a lead..
(f) Only
riders, drivers and assistants for the young, inexperienced and/or
disabled riders are allowed into the Park free of the normal park
entry fee.
(g) All spectators
must pay the standard Park entry fee.
(h) Riders not wearing identification numbers,
misbehaving or showing lack of consideration to others will be
required to leave the course.
(i) The Rotary Club of Hatfield will not accept
liability any damage, injury or loss to any person, horse or
property howsoever caused.
(j) The decision of the Organising Committee is final in all
matters.
6 HEALTH & SAFETY
(a) Course Stewards identified by Rotary
Tabards, Rotary Steward badges and First Aid Uniforms can be approached with safety.
(b) Stewards
will have communication facilities to
Ride Reception, medical, veterinary and all emergency
services.
(c) Hard hats to BS/EN 1384, PAS 015 or later and
riding boots must be worn.
(d) Riders are strongly advised to wear back
protectors.

(e) Riders with
excitable horses or horses likely to kick, should attach red ribbons to
the saddle and tail.
Inexperienced
riders or horses should have green ribbons on saddle and tail.
Nervous horses
should have yellow ribbons on saddle and tail.
Ribbons should be
clearly visible to other riders.
(f) Riders are advised to ride in small groups.
Under sixteen year olds MUST ride in groups of three or more or
with an adult known to them.
(g) Jumps may be
attempted only once, except with the express permission of the
officiating steward.
(h) A course map and list of telephone numbers will
be supplied to riders.
(i) Numbered course "way points"
correspond with those shown on the map.
(j) please
report any
incident, accident or course problem as soon as possible to a Steward
or Ride Reception giving details and exact location, if possible, by
using "way points" or other identifiable location point.
(k) If a rider
is injured, seek help to divert oncoming riders, keep rider warm,
immobilised and request aid from a steward.
(l) If a rider
accidentally strays from the course, retrace route back or use map to
return to course.
(m) The course
will be "swept" 30 minutes after the last rider starts.
(n) Riders may
drop out at any point, but MUST notify a Steward before leaving the
course.
(o) All riders MUST report back to Reception on
completion of their ride.
7 COURSE LIMITATIONS
(a) The majority of the course is on private land and
access is only permitted to Riders, and Assistants, as defined in
Paragraph 5, and Spectators who have paid the standard Hatfield Park
entry fee.
(b) Spectators are not permitted to follow individual
riders around the course.
8 A RESPONSIBLE
ADULT MUST SIGN THE FOLLOWING DECLARATION:
I HAVE READ and
AGREE TO THESE RULES and CONDITIONS and all riders listed in this entry
application have been made aware of and have agreed to these Rules and
Conditions.
